Privacy Notice

How we use contact details, service information, account details, and device data when you ask for help.

Effective date: 30 May 2026. This notice explains our approach to personal information under the Protection of Personal Information Act, 2013 (POPIA).

Overview

Dr. Robot Systems & Technologies uses personal information only where it is reasonably needed to answer an enquiry, arrange a repair, process an order or trade-in request, manage an account, provide support, or meet legal and operational obligations.

We do not sell your personal information.

Information We Collect

  • Your name, email address, phone number, and preferred contact method.
  • Repair, order, trade-in, B2B, or project details that you submit.
  • Device details such as model, reported fault, condition, serial number, or repair history where relevant.
  • Account and request history if you create a customer account.
  • Quote, payment-status, collection, delivery, and handover records where relevant.
  • Basic technical information needed to keep the website working, including local browser storage used for cart items, favorites, and theme preferences.

Device Data During Repairs

Please back up your device before handover where possible. Remove SIM cards, memory cards, and accessories unless they are needed for the agreed diagnosis.

If a passcode or account access is reasonably needed to test an agreed repair, we will ask for it and use it only for that purpose. We do not intentionally browse unrelated personal content. Tell us before handover if the device contains especially sensitive information or requires a restricted testing method.

Repairs can involve unavoidable data risks. Ask for the available options before work starts if you cannot provide a current backup.

How We Use Information

  • To answer questions, prepare quotes, and confirm the next step.
  • To book, diagnose, repair, test, collect, deliver, and support devices.
  • To process accessory orders, trade-in assessments, and project requests.
  • To manage customer accounts and request history.
  • To prevent misuse, keep service records, and comply with applicable law.

When Information May Be Shared

We share only what is reasonably necessary with service providers that help us operate the website, authentication, data storage, communications, collection, delivery, or an agreed repair. If you message us through WhatsApp or another third-party platform, that platform also processes your information under its own terms.

We may also disclose information where required by law or where reasonably necessary to protect customers, our business, or another person.

Storage and Security

We take reasonable steps to protect personal information and keep it only for as long as reasonably required for the service, record keeping, dispute handling, security, and legal obligations. No online or device-storage method can be guaranteed to be completely risk-free.

Your Choices

You may ask us to confirm whether we hold your personal information, request access or correction, or raise a privacy concern. Some records may need to be retained where the law or a legitimate operational requirement applies.
